How to Create an Invoice in Telegram in Under 60 Seconds

Step-by-step guide to creating a professional PDF invoice directly in Telegram using EasyInvoiceBot — no apps, no signup, no accounting software.

If you've ever scrambled to send an invoice from your phone — opening a desktop app, waiting for it to load, filling in the same fields for the tenth time — there's a faster way. EasyInvoiceBot runs directly inside Telegram and generates a ready-to-send PDF in under a minute.

Here's exactly how it works, step by step.

Step 1: Start the bot

Open Telegram and search for @EasyInvoiceAppBot, or tap this link. Press Start.

The bot greets you with a single prompt: "Create your first invoice and see how it looks" — and a New Invoice button. That's your only next step. No account, no email, no settings to fill in first.

Step 2: Enter your name or company

The bot asks: "What's your name or company? It will appear on every invoice."

Type your name or business name and send it. The bot saves it automatically — you won't be asked again.

Step 3: Select your country

The bot shows a quick country picker: Slovenia, Germany, Netherlands, Austria, France, Italy, United States, or "Other" for any other country.

Tap your country. The bot automatically sets your default currency (EUR for SEPA countries, USD for the US) and VAT / Sales Tax rate — you won't be asked again unless you change it in Settings.

Step 4: Enter the client's name

Next: "Who are you billing? Enter client name."

Type the client's name. The bot saves it as a contact and shows it in a list — tap to confirm. Every future invoice to this client starts with a single tap instead of typing.

Step 5: Add a line item

Now the invoice itself. The bot walks you through each field:

  1. Item name — what you're billing for (e.g. IT Consulting)
  2. Quantity — e.g. 3 or 2.5
  3. Unit — choose from buttons (hours, days, pcs, kg…) or type a custom one
  4. Price per unit — e.g. 100.00

The bot immediately confirms: "IT Consulting — 3.00 h × 100.00 = 300.00"

Step 6: Add more items or continue

You get four buttons: Add Item, Next, Back, and Cancel.

  • Tap Add Item to add another line (the bot repeats the same four fields).
  • Tap Next when you're done with items.

Step 7: Add a note (optional)

The bot offers a free-text notes field — payment instructions, a thank-you line, a reference number. Tap Skip if you don't need it.

Step 8: Review and confirm

Before generating the PDF, the bot shows a full Invoice Preview:

  • Client name
  • All line items with quantities and prices
  • VAT and total
  • Due date

If something's off, tap Edit. If everything looks right, tap Invoice.

Step 9: Get your PDF

Within seconds: "Invoice created successfully!"

The bot sends the PDF directly in the chat — named invoice-2026-0001.pdf (or whatever number you're on). Forward it to your client, save it to your phone, or share it any way you like.


Setting up payment details

The first invoice skips the payment details step unless you've configured them in Settings. To make sure every future invoice is ready to pay immediately, go to Settings → Payment Information and add:

If you're in a SEPA country (Europe):

  • IBAN — your full bank account number (e.g. DE89 3704 0044 0532 0130 00)
  • BIC / SWIFT — your bank's identifier code
  • Payment reference format — optional, but useful for bookkeeping (e.g. SI00 1234-567)

Once saved, the bot pre-fills these on every invoice and generates a SEPA QR code automatically. Your client scans it in their banking app and the payment form opens pre-filled — no copy-pasting IBANs.

If you're in the United States:

  • ABA routing number — your bank's 9-digit routing number
  • Account number — your checking account number

US invoices don't include a QR code. Instead, the ABA routing and account number are printed as plain text in the payment section of the PDF.

In both cases, you can also add a payment link — a Stripe, PayPal, or other online payment URL. The bot generates a QR code from the link and places it on the PDF.

Recurring clients and the repeat feature

Once you've invoiced a client, the next invoice to the same client is faster. Their name, address, and VAT number are already saved — you tap to select them from the list.

On the Pro plan, there's a Repeat button in any invoice. Tap it and the bot pre-fills everything from that invoice — client, items, amounts, due date. You review, adjust if needed, and confirm. This is the fastest path for monthly retainers or recurring services.

How to add a VAT rate

When adding items, the bot asks for the VAT rate. You can:

  • Enter a percentage (e.g. 19 for German VAT, 22 for Slovenian)
  • Enter 0 for zero-rated items
  • Set a default VAT rate in Settings — the bot will pre-fill it and skip the question

VAT is calculated per item and shown in the summary line. The PDF shows net amount, VAT amount, and total separately — which is required for compliant invoices in most EU countries.

Tips for getting paid faster

A few things that actually move the needle:

Add a due date. Invoices with a clear due date get paid faster than "payment upon receipt." Net 15 or Net 30 are standard. The bot offers these as one-tap presets.

Add a SEPA QR code. If your client is in Europe, a QR code removes the friction of manual bank transfers. One scan, one tap to confirm — done. Read more about SEPA QR codes on invoices.

Add a payment reference. A structured reference (like INV-2026-0001) makes it easy to match incoming payments to specific invoices in your bank statement.

Send immediately. The PDF is in the chat the moment you confirm. Forward it directly to your client from Telegram — no email attachment, no download-upload cycle.

What happens on the next invoice?

Your name, country, and client are already saved. The next invoice skips the setup steps entirely — you go straight to adding items. That's where the "under 60 seconds" really kicks in.

If you've set default values for currency, VAT rate, IBAN, and due days in Settings, the bot will skip those steps too or pre-fill them. A fully configured setup means most invoices are just: select client → add items → confirm.

Can I edit an invoice after creating it?

Yes — it's free. Use /editinvoice or tap Edit in the invoice card. You can change items, amounts, due date, and notes.

On Free, delete and recreate — your client and item history is still there, so it takes under a minute even from scratch.

Do I need Telegram Premium?
